Privacy policy
What data we collect, why, who we share it with, how long we keep it and how to delete it.
Who processes your data
Your personal data is processed by the person operating under the name Visacentr ("we"), who is also the Provider under the public offer. For any question about your data, write to info@visacentr.pro.
This policy explains what data we collect, why, who we pass it to and how long we keep it. It is deliberately written in plain language: a document nobody can read protects nobody.

What data we collect
Contact details — your name, the communication channel you choose and your address in it (messaging app, phone or email).
Application data — the details required by the official form of the destination country: surname and first name in Latin letters, date and place of birth, citizenship, passport details, address, trip details and, where required, details of your work, parents and previous trips. It is the destination country, not us, that decides which fields are required.
Documents — a scan or photograph of your passport, a visa photograph and, where required, a ticket, booking or other supporting document.
Correspondence — messages in the website chat and in messaging apps relating to your order.
Technical data — the language, currency and citizenship you selected, stored in your browser; the page address and server records (see "Server logs").
We do not ask for data about health or political views, and we collect no biometric data beyond the photograph required by the application form. We do not ask for payment card details through the website and do not store them.

Why we process it
The main purpose is to supply the service you ordered: complete the official form, submit the application, pay the government fee, track the status and pass the result to you. Contact details are used to reach you about your order.
Legal grounds for processing:
— performance of the agreement entered into when you place an order;
— compliance with legal obligations binding on us;
— your consent — where the law specifically requires consent, in particular for cross-border transfers;
— protection of our legitimate interests and rights when handling claims and disputes.
How we process it. Processing includes collection, recording, organisation, accumulation, storage, adaptation or alteration, retrieval, use, transfer, anonymisation, blocking, erasure and destruction of personal data.
Processing is carried out both by automated means and without them. We do not take decisions producing legal effects for you automatically, without human involvement.
We do not use personal data to send marketing messages without your separate consent, and we do not pass it to advertising networks or data brokers.

Who we pass it to
An order submitted through the website is stored in our private admin panel — that is where it primarily lives. Below is who else receives data, and how much of it.
The government authority of the foreign state you have chosen for your visa or other travel authorisation — its visa or immigration service. This is an inseparable part of the service: the form and documents are submitted there, through that state's official portal. From the moment of transfer, the data is processed under the law of that state, not under the law of your country of citizenship or residence. Without this transfer the service is impossible.
Messaging services. A notification about a new order is also sent to a manager via Telegram so that they see it quickly; correspondence with a manager likewise goes through Telegram; if you write to us in another messaging app, the contents of that correspondence are processed by that service on its own terms. Messages sent through the website chat are also passed to Telegram — otherwise a manager would not receive them.
Technical contractors — our hosting provider and the people who maintain the website: they process data only on our instructions, to the extent needed for the website to work, and may not use it for their own purposes.
Payment services — if the payment method agreed with your manager requires data to be passed to a bank or payment system, only what is needed for that particular payment is shared. Payment always happens outside the website: the offer expressly rules out taking payments through it.
We do not sell personal data and do not pass it to third parties for their own purposes. Disclosure at the request of a government authority is possible only to the extent expressly required by a law binding on us.

How long we keep it
We keep data no longer than is necessary for the purposes set out in this policy.
Documents (passport scan, photograph, tickets) — while the process is under way and while re-submission, clarifications or enquiries about the order remain likely. Once that need falls away, they are erased or destroyed in a way that makes recovery impossible.
Order data (number, country, document type, status, contact) — for as long as we need it to confirm that the service was supplied, to handle any claim and to meet legal requirements.
Correspondence — for as long as we need it to deal with your enquiry and to protect the rights of both parties.
A photograph uploaded to the checker on the "Visa photo" page is not stored at all: it is processed in the server's memory and returned to you in the response. It is never written to disk and never becomes part of an order.
Data already passed to the government authority of the destination country is kept under that state's rules; we can neither change nor delete it there.

How we protect it
The documents you upload are stored outside the public part of the website and cannot be opened by a direct link: a file can only be retrieved through a checked internal request, and the file name uses a random identifier that rules out access by a predictable name. Directory listings are never served.
The website works over a secure connection. Access to orders is limited to authorised persons who need it to perform the agreement. We do not forward your documents to third parties, except in the cases provided for in this policy or by law.
No system is completely secure, despite the protection measures we take: if you send documents through a messaging app, they pass through its servers, which is outside our control.
If a breach occurs that puts your rights at risk, we will tell you using the contact details you left, and explain what data is affected and what we have done about it.

Server logs
Our server automatically records technical information about requests: IP address, date and time of the request, the address of the requested page, browser and operating system details, and error information.
This information is used solely to keep the website secure, to diagnose faults and to prevent abuse. We do not use it to identify you and do not match it against order data, except when investigating security incidents or complying with legal requirements.
Logs are kept for as long as these purposes require, after which they are deleted or anonymised.

Your rights
At any time you may:
— find out what data about you we hold and obtain a copy of it;
— correct inaccurate data;
— have data erased — unless we need it to perform an obligation, to defend against a claim, or unless the law requires us to keep it;
— withdraw your consent to the cross-border transfer. Before the application is submitted this means withdrawing from the service; after submission we cannot recall the data from the government authority;
— object to the processing or complain to the supervisory authority in your country.
Send your request to info@visacentr.pro. We reply no later than 30 calendar days from the date we receive it. To avoid disclosing data to someone else, we may ask you to confirm that the request comes from you.

Cookies and browser storage
The website uses browser local storage — it remembers the language, currency and citizenship you selected, as well as your chat session identifier, so that the conversation is not lost as you move between pages. Without it the website still works, but forgets your settings.
The website sets no cookies of its own. Technical cookies may appear if third-party services are added — which ones and what for is set out in the "Analytics and counters" section below. Technical cookies do not require separate consent: they are necessary for the website to work correctly.
Entries in local storage last until you clear the site data in your browser; the chat session identifier lasts until the session ends. Anything the website has stored in your browser can be deleted in the browser settings.

Children
We do arrange visas for children, but we enter into the agreement only with an adult client. Where documents are arranged for a minor, the order is placed and the data provided by their parent or legal representative, who also confirms consent to the processing.
Analytics and counters
As at the date of this policy, the website does not use any third-party analytics systems or visitor counters. We do not set advertising or tracking cookies, do not record visitor behaviour and do not pass it to anyone.
If a counter is added, this section changes with it: it is generated automatically from the website settings rather than written by hand.

Changes to this policy
We may update this policy. A new version takes effect once it is published on this page; the date of the last change is shown at the bottom. If a change materially affects your rights, we will tell you using the contact details you left.
Continuing to use the website after a new version takes effect means that you agree to the changes, unless the law provides otherwise.
This policy is published in Russian and in English. In the event of any discrepancy between the versions, the Russian version prevails.
